FIELD GUIDE 09AI with a purpose

Give answers a source to stand on.

Use approved business information to support AI answers, while keeping uncertainty and access visible.

01 / THE IDEA

What changes.

Retrieval brings relevant material into an AI task before the model writes an answer. That material might be an approved policy, a service description, or a support article. It makes the source of the answer more inspectable.

The starting point is a useful document collection. Remove old versions, separate private and public information, and name the person responsible for keeping each source current. More documents do not automatically produce better answers.

A system can retrieve the wrong passage or misread a correct one. Ask it to identify supporting material and leave unsupported questions unresolved. Test questions that the collection cannot answer as well as those it can.

Relevant context helps. It does not replace checking the answer.
02 / IN PRACTICE

A practical example.

ILLUSTRATIVE WORKFLOW

A fictional service assistant retrieves the approved booking policy before drafting an answer about rescheduling. If the policy does not cover the customer’s situation, it flags the question for a person instead of creating a new rule.

  1. Approved sources
  2. Relevant context
  3. Answer + reference
03 / MAKE IT USEFUL

Put it in place.

Start with the smallest version you can inspect from beginning to end. Agree the process before connecting live business data.

  1. 01

    Gather approved source documents.

  2. 02

Remove outdated copies and separate private material.

  3. 03

    Organize content into useful sections.

  4. 04

Choose an appropriate retrieval approach with the builder.

  5. 05

Require supporting references in the result.

  6. 06

Define what to do when sources do not answer the question.

  7. 07

Review the source library and representative answers regularly.

04 / BEFORE YOU CALL IT DONE

Check the handoff.

  • The source collection has an owner.
  • Old or conflicting versions are handled deliberately.
  • Access follows the audience for each document.
  • Answers include a way to inspect supporting material.
  • An unsupported question has a clear escalation path.

What to avoid.

  • Uploading messy documents.
  • No source visibility.
  • Mixing private and public knowledge.
  • Letting AI answer without retrieved context.
  • Never updating the knowledge base.
05 / YOUR NEXT ACTION

Make one thing clearer.

Collect the documents behind a handful of recurring customer questions. Mark which answers are current, approved, and suitable to share.
