FIELD GUIDE 03Better workflows

The form is only the beginning.

Connect your website inquiry to a useful record, a named owner, and a clear response.

01 / THE IDEA

What changes.

A website can make the offer clear and still leave the business with a messy handoff. A submission that lands in a shared inbox without context or ownership is only the start of the work.

Begin with one visitor goal: request a quote, book a conversation, or ask a useful question. Ask for the details the next person needs. Do not collect extra information simply because another business has a longer form.

A connected website does not automatically need AI. Straightforward rules may be enough to route a request. Add a summary or classification step only when free-text answers create a real review burden.

Design what happens after someone presses Send.
02 / IN PRACTICE

A practical example.

ILLUSTRATIVE WORKFLOW

A fictional service inquiry includes the requested service, location, and preferred way to reply. A coordinator receives that context with a link to the saved record. The visitor sees an honest confirmation of what was received.

  1. Useful intake
  2. Saved context
  3. Owner handoff
03 / MAKE IT USEFUL

Put it in place.

Start with the smallest version you can inspect from beginning to end. Agree the process before connecting live business data.

  1. 01

    Choose one clear conversion goal.

  2. 02

Ask for the information needed to make a useful reply.

  3. 03

Build validation, confirmation, and failure states.

  4. 04

Save submissions to the agreed source of truth.

  5. 05

Route the request to a named owner.

  6. 06

Add a summary only when it helps that owner.

  7. 07

Test the full handoff from the visitor’s perspective.

04 / BEFORE YOU CALL IT DONE

Check the handoff.

  • The form asks only for information needed by the next step.
  • Validation explains how to fix an incomplete field.
  • A success message matches what actually happened.
  • An owner can find the saved request and its source.
  • Failure and duplicate-submission behavior have been checked.

What to avoid.

  • Collecting too little context for the next action.
  • No owner alert with context.
  • No CRM stage after submit.
  • No source tracking.
  • No follow-up reminder.
